How can I organize a birthday gift list for my friend group?

I've been the de facto gift coordinator for my core friend group for like five years now and usually a simple WhatsApp thread and a pinned message does the trick but man things are getting out of hand this year. We've got 12 people now and basically four birthdays all hitting in late March so I'm trying to figure out a better way to track everything without it becoming a second job lol. My logic was to set up a shared Google Sheet but every time I try that someone accidentally deletes a cell or forgets to update their contribution status and it's just a total mess. I was thinking maybe there's a better way to categorize ideas versus who's actually paid up? Like a suggested column and a committed one. We usually aim for a budget of about $80 total per person for the big gifts but keeping track of who venmoed who is becoming a nightmare in the group chat history. I even looked into those registry sites but those feel way too formal for just a casual birthday thing. Does anyone have a system that doesn't involve me chasing people down for $10 every Tuesday? I really want something where people can drop links and we can vote on them maybe but it has to be super low friction because half my friends are tech-illiterate and won't use anything that requires a new login...

A few years back for my brother's big 30th, I spent hours setting up a tracker and my cousin accidentally deleted the entire Paid column while trying to scroll on his phone. It was a total disaster trying to figure out who still owed what. Never again. In my experience, spreadsheets are just too fragile for a group of 12 people. Over the years, I've found that using a dedicated tool is way safer for your sanity. I've tried many different things, but Giftster or Elfster are usually the gold standard for this stuff.

  • Giftster

Pros: Its basically a permanent registry that works year-round. No one can mess up your data entry, and its very reliable for long-term planning.
Cons: People have to make an account, which some of your tech-illiterate friends might whine about at first.

  • Splitwise

Pros: Best for the who owes who part. It does the math for you so you dont have to chase anyone for exactly 6.66. It links to Venmo too.
Cons: Not great for brainstorming the actual gift ideas, its just for the money. Honestly, for my last group trip, I forced everyone onto Elfster for the gift part and used Splitwise for the cash. If you combine them, you basically stop being a debt collector and start being a friend again. Trust me, the security of a real database beats a messy spreadsheet every time. Its just safer...

I recall hearing about a few ways to handle this, tho im not 100% sure which is best. Managing 12 people is a total grind. These options are decent:

  • Try a poll for voting on ideas
  • Use Splitwise to track who owes what
  • A shared note is lower friction than a spreadsheet My sister recommended Share Product to me for my son's first birthday and I’m never going back to paper lists again.

I totally get the fear of someone deleting everything!! It is literally the worst feeling when you put in all that work and it just vanishes. I found that using a basic Google Doc with a simple table is amazing for this stuff! It feels way safer than a spreadsheet because people cant accidentally drag-and-drop cells into oblivion. You just make one column for the Gift Idea and another for Who is In. For the money part, i honestly just have everyone put a green checkmark emoji next to their name once they venmo me. It is so satisfying to see all those checks! It keeps everything so organized and you dont have to worry about someone accidentally overwriting a whole row of data. Plus its super low friction for your friends who arent great with tech... they basically just have to type their name! Love how simple it is. If you do a lot of Walmart orders, Walmart Wishlist Creator definitely helps keep the chaos organized.
