Ive been the designated gift-giver in my family for basically a decade now. Usually I just have this massive running list in my iPhone notes app where I jot down things people mention throughout the year. It worked fine when it was just my parents and my brother, but now Ive got three nieces, two nephews, and my sisters-in-law to worry about and my system is just totally breaking down.
So I was thinking maybe I should move everything to a spreadsheet because I need to track my budget better this year. Im trying to keep it under $40 or $50 per kid but prices are all over the place. My logic was that a Google Sheet would let me see everything at once, but honestly its such a pain to open a spreadsheet when Im just standing in the middle of a store or scrolling through a cool boutiques website on my phone. I tried using Pinterest boards for everyone too but that felt way too cluttered and half the links I saved last summer were dead or out of stock by the time I actually went to buy the stuff.
What really threw me for a loop recently was that I accidentally bought the same Lego set for my nephew twice because I forgot Id already picked it up on sale months ago and didnt mark it off anywhere. Its so frustrating because I pride myself on being organized but the one big note method is just becoming a wall of text that I cant parse anymore.
I tried a few things so far:
Ive looked at some of those specific gift-tracking apps but they all seem kinda bloated or they want a subscription which is annoying. I just need a way to snap a photo, maybe tag it with a name and a price, and then actually find it again in six months without scrolling through 500 other random thoughts. Do you guys use something like Notion for this or maybe just a better way to categorize stuff in a standard notes app? Im curious if people are using tags or folders or what because my brain is just mush trying to keep track of everyones interests as they change...
Honestly, Trello is amazing for this! Its fantastic for color-coding budgets so I'm always gonna stay under $50. Seeing everything visually is a total lifesaver!
^ This. Also, be careful with Notion's mobile performance if you're adding lots of photos. If you dont compress the images, the app might lag when you're actually standing in a store trying to check prices. I would suggest setting up a simple gallery view but definitely lock the database. You dont want to accidentally drag a gift to the wrong family member while scrolling thru your list!
Regarding what #2 said about Notion mobile performance... unfortunately, I had issues with that exact thing last Christmas. Its really not as good as expected when youre actually out shopping. I spent ages setting up this perfect gallery view for my nieces and nephews, but then I was standing in a toy aisle and the app just wouldnt load the photos. I ended up missing out on a huge clearance deal because I couldnt remember if I already had that specific gift. Such a bummer when youre trying to stick to that $40 limit and every dollar counts. I have been doing this for years and honestly, the more complex the app, the more it seems to fail you right when you need it most. It feels like these tools are built for desktops, not for someone trying to save money on the move. @Reply #1 - good point! Trello is solid but I think Notion is more robust for technical tracking. Its essentially a database you can customize for mobile use.
