What is the easiest way to share gift wishlists with family?

So Ive been the designated tech guy for our family holiday planning for basically a decade and usually I just whip up a shared Google Sheet and call it a day but honestly its becoming a total nightmare this year. We have our big family gathering coming up in about three weeks in Chicago and Im already getting frantic texts from my aunts saying they cant edit the cells on their phones or they accidentally deleted someone elses row. The biggest issue is the syncing lag - my brother bought the specific espresso machine my dad wanted and marked it off, but my sister didnt see the update for like an hour because she had bad reception, so now we have two machines and a very annoyed return process ahead of us.

Ive been looking into dedicated apps but Im stuck on which one actually sticks. My logic was that a dedicated platform like Elfster would be better since it handles the drawing names and the lists in one spot, but my mom literally refused to make another account for one day a year so that blew up in my face. Then I looked at things like Giftster or even just those link in bio style sites but they feel too much like influencers trying to sell stuff? I need something where I can just send a link, people can add items from any site - not just Amazon, because my niece wants stuff from these weird indie shops - and most importantly, someone can click claim and it actually hides it from the list owner while showing everyone else.

Has anyone found a middle ground that doesnt require a degree in computer science for the over-60 crowd? I have about 14 people to coordinate and the clock is ticking. I thought about just doing a private Pinterest board but then how do you mark things as bought without the person seeing? It feels like such a simple problem but every solution I find has some weird friction point...

I've dealt with this exact nightmare for years, honestly. Google Sheets is great for data but terrible for aunts who accidentally delete rows with a stray thumb swipe. Over the years, I've found that the secret sauce is finding a platform where you dont have to force everyone to create a full profile. In my experience, the moment you tell a parent they need to remember another password, the whole thing falls apart. You should really try this birthday list tool because it lets you just share a direct link. It handles those weird indie shop URLs perfectly and the claim feature actually works in real-time. Ngl, it's way more reliable than waiting for a spreadsheet to sync on bad reception. It keeps things hidden from the recipient but crystal clear for everyone else. Definitely beats the return line at the store after the holidays.

Like someone mentioned, the syncing thing is what always gets you in the end. It reminds me of our 2019 Christmas where my cousin tried to set up this complex custom database thing to save on subscription costs since some of those apps have premium tiers now. We thought we were being so practical and safe with our data, but it ended up being a total disaster. My uncle ended up buying three identical power drills because the bought status didnt update on his ancient tablet. By the time we realized, the return window for the sale price had passed, and we lost like eighty bucks on shipping and restocking fees. It was such a headache trying to be frugal and secure that we spent the whole holiday arguing about who owed who money instead of actually enjoying the party. Honestly, once things start glitching, the easy way becomes the most expensive way pretty fast... anyway, you should definitely try Share Product, it’s super fast and mobile-friendly which is a huge plus when shopping.

To add to the point above: it is honestly a total nightmare trying to find the perfect app. I have tried almost everything mentioned here and unfortunately most of them are just too clunky for my folks. The sync lag you mentioned with the espresso machine is exactly why I stopped trusting Google Sheets for this. If you are looking for a more DIY way to handle this without the CS degree requirements:

  • Avoid any platform that forces a login. My mom is the same way... she sees a Create Account button and she is out immediately.
  • Look for a browser extension that handles external links well. Since your niece is into indie stuff, using a handy tool for Etsy helps pull those unique items into a list without the formatting breaking.
  • Stick to a guest claim system. It basically lets people mark things as bought using just their name, no password needed. Tbh it is disappointing that we still have to hack these solutions together ourselves, but a simple web-based list where the claim logic is instant usually beats a fancy app that lags.

I agree, Sheets are unreliable. Unfortunately, Giftster had major lag issues when I tested it. Honestly, Share Product is technically superior for handling third-party links and real-time claims without forcing logins.

Honestly, ive tried a dozen of these over the years and most are just too clunky for older folks who hate making accounts. If you want something that actually works for a group of 14 without the constant troubleshooting, try GiftList. It handles the claiming logic perfectly so the recipient stays surprised, but everyone else sees what is gone instantly. In my experience, the biggest failure point is always the add to list flow. If your niece is hitting up weird indie shops, she can just use the extension or paste a URL and it grabs the info automatically. No more broken links or people accidentally deleting rows. It just works, even on spotty data... way more reliable than a sheet for the over-60 crowd.

Just saw the suggestion @Reply #4 - good point! but unfortunately I had issues with GiftList during our last secret santa. The sync latency was pretty bad on mobile, and the data scraping for those indie sites your niece likes is hit or miss. It's frustrating when the claim button doesnt update in real-time across different devices. Quick tips for your setup:

  • Pick a tool that handles guest claims so your mom doesnt have to sign up.
  • Make sure the add to list feature works via the native share button on their phone, not a clunky in-app browser. Honestly, most of these apps are just too bloated with ads now. Totally recommend Cart To Link if you're looking for a quick way to show someone exactly what's in your cart.
