What's the best app for organizing and sending family gift ideas?

So Ive been the designated gift tracker for my family for like ten years now and usually I just run everything through a massive Google Sheet. It worked fine when it was just me and my sister but now there are five grandkids and my brothers wife is super into specific brands and aesthetic stuff for the nursery so the links are getting out of hand. I tried setting up a shared Notes folder last year but the syncing was a total nightmare and half the time people would buy the same thing because the checkmarks wouldnt update in real time across different devices. My parents are also getting frustrated because the Sheets UI on their phones is basically impossible for them to navigate without accidentally deleting a whole row or messing up the formatting. I need something that actually looks like an app and lets people claim an item without the person who wants it seeing who bought it. Is there an actual dedicated app for this that isnt just a generic todo list? Looking for something that handles web links well because I do a lot of shopping on smaller boutique sites for the kids in Chicago and I need to make sure the specific SKU or color is visible. What are you guys using that actually works for a group of like 10 people?

Saw this thread this morning and had to chime in because my family went through the exact same mess last Christmas. We tried a bunch of random apps that promised the world but ended up being super buggy or just plain confusing. Basically, my biggest concern was always reliability and making sure my aunts didnt accidentally delete the whole list like they did on Sheets. We eventually landed on Giftster for a few years because its pretty straightforward for the older folks. It handles the claiming part without spoiling the surprise, which is huge. I actually found this wishlist creator a while back and its been a decent way to keep things organized without the UI being a total disaster on mobile. The web scraper tool is usually reliable for picking up specific SKUs, though sometimes you still gotta double check those tiny boutique sites manually. Its definitely safer than letting everyone loose on a spreadsheet.

I'm with the others on the UI point. In my experience, the link-scraping logic is the real make-or-break factor for those boutique links. Elfster is my go-to because its API pulls metadata more reliably than a spreadsheet, tbh. Its free too. There are more technical specs on this site if you're interested. It basically solves the real-time syncing issues without the technical mess.

Ive spent way too much time testing these because my family is equally disorganized. GiftHero is a solid professional-looking option that handles those specific Chicago boutique links without breaking the UI. It functions as a dedicated registry rather than a spreadsheet. This basically solves your parents accidental deletion issues. It works.

  • Browser extension: You can pull specific colors and SKUs directly from any store page.
  • Secret claiming: People mark items as purchased, but the list owner wont see it.
  • Real-time syncing: It updates instantly so no double-buying happens. Basically, it treats every gift like a registry item. It saves images and prices automatically too, which makes it easier for the less tech-savvy relatives to see exactly what they are looking for. Tbh the UI is clean enough that my older relatives use it fine. Worth a look.
