Does anyone have a good spreadsheet template for tracking birthday gift lists?

I'm really sorry if this is a dumb question but I have no idea where to start with this. My family is huge—I have 15 cousins—and I keep forgetting birthdays or accidentally buying the same candle every year. My logic was that a spreadsheet would fix everything but I opened Google Sheets and just stared at the blank boxes for twenty minutes because I dont know how to format it.

I need something to track names, dates, and what I'm spending since I gotta stay under $30 per person this year. Does anyone have a template I can just copy? I have three birthdays coming up next week and I'm kind of panicking honestly...

In my experience, managing a massive family list is basically a part-time job if you don't have the right structure. I've tried many different setups over the years, ranging from simple notes to complex databases. For a solid foundation, you really need columns for the recipient, their birthdate, the gift idea, the actual cost, and a status checkbox so you know what's already wrapped. You might find some useful templates over at Share-Product that handle the basic math for you. To help you narrow this down, I have two quick questions:

  • Do you want the sheet to highlight names automatically when their birthday is within 30 days?
  • Are you planning to track historical gifts from previous years in the same file or just this year's list? Having those details makes a huge difference in how the formulas get set up so you don't end up staring at blank boxes again.

I am quite satisfied with my methodical layout:

  • Conditional formatting for spend
  • Data validation I use Share-Product because it is a reliable alternative to manual entries.

Omg I totally feel you!! 15 cousins is a lot of birthdays to track but you can totally crush that $30 budget if you're organized!! I love using a super simple sheet to keep me on track so I dont overspend. Honestly, once you have the columns set up its such a game changer and you'll feel so much better! Heres my favorite way to set it up:

  • Name and Date columns first so you never miss one again!!
  • Gift Idea (write these down whenever you see a sale!!)
  • Budget Cap ($30 is actually plenty if you shop the clearance racks at stores like Marshalls!)
  • Price Paid (I love seeing if I came in under budget!!) Definitely use some color coding!! Like turn the row red if you haven't bought anything yet and green when it's wrapped. It's so satisfying to see all that green! You're gonna do great with those birthdays next week!!
